💼 Navigating Post-Contract Tools

To begin managing post-contract activities for your project, follow these steps:

  1. Log into C-Link:
    • Navigate to your C-Link dashboard.
  2. Access Your Specific Project:
    • Select the project you wish to manage, for example, Gate Apartments.
    • On the project dashboard, you will notice tools are divided into two categories:
      • Procurement Phases: These include the project plan, procurement tools, and project documents.
      • Post-Contract Tools: Includes Instructions and Variations, NCRs (Non-Conformance Reports), and Forecast Final Account.

📄 Creating and Managing Instructions

To create and manage instructions within your project, proceed as follows:

  1. Access Instructions and Variations:
    • Click on the Instructions and Variations section under Post-Contract Tools.
  2. Create a New Instruction:
    • Press Add New Instruction.
    • Select the relevant subcontractor from the list. These will be subcontractors with an existing contract.
    • The system will automatically connect the instruction to the relevant package.
    • Enter a description of the instruction, for example, "Add a new room to the east elevation" or "Additional muck away required – 2 loads."
    • Input the agreed rate from the contract, such as £400 per load, or leave it to be valued at a future date.
    • Upload any relevant files or documentation to support the instruction.
  3. Save and Send the Instruction:
    • Once the details are entered, you can save the instructions as a draft or preview them to see how they will appear as a PDF.
    • Press Save and Send Instruction to issue it to the subcontractor.
    • The system will then log the instruction in the Instructions and Variations tab, which shows all instructions with their respective dates and statuses.

📊 Tracking Variations and Final Account Forecast

To track variations and manage the final account:

  1. Track Instructions and Variations:
    • After sending an instruction, it will appear in the Instructions and Variations tab.
    • The tab will display all instructions sent for the project, including dates and recipient details.
    • As agreements are made, the status of each instruction will be updated accordingly.
  2. Prepare for Future Updates:
    • In future steps, you can manage NCRs and further track how these feed into your Forecast Final Account.
