Managing Order Approval Workflow in C-Link

This guide walks you through setting up and managing the Order Approval Workflow in C-Link, ensuring full visibility and control before any order is issued.

Permissions: Only Admins and Super Admins can set and manage Order Approvals.

👥 Accessing Team Manager

To start setting up your order approval workflow:

  1. Log into C-Link
    Navigate to your Project Dashboard upon logging in.
  2. Open Team Manager
    From the main menu, select Team Manager.
    You’ll see a list of all colleagues within your organisation who have access to C-Link.

⚙️ Setting Up Approval Threshold Groups

Approval Threshold Groups define the value limits within which orders require review. This action is restricted to Admins and Super Admins.

  1. Scroll to the Bottom of the Team Manager Page
    Locate the section titled Approval Threshold Groups.
  2. Create or Edit Groups
    Use the options available to add, edit, or delete any groups.
  3. Apply Going Forward
    Note that threshold changes are not retrospective — they only apply to new orders created after setup.
  4. Receive Confirmation
    Once saved, a system notification will confirm your threshold groups have been successfully set.

✅ Assigning Approvers

Next, assign which team members can approve orders within the thresholds you’ve defined. This action is restricted to Admins and Support Admins.

  1. Set User Permissions
    By default, all users are set to Approve None.
  2. Choose the Appropriate Threshold
    Click the dropdown beside each user and select from your configured threshold groups or Approve All.
  3. Save and Confirm
    You’ll receive a system confirmation once each user’s approval level is successfully updated.

🧾 Requesting Approval for Orders

Once your workflow is configured, approvals are automatically triggered when new orders are raised.

  1. Complete Order Details
    Fill in all mandatory fields on the Document Creator in the Order Form.
    The progress bar must reach 100%.
  2. Request Approval
    Click Request Approval on the top-right-hand side.
  3. Select Approver
    From the dropdown list, choose an approver with the appropriate threshold rights.
  4. System Notification
    A notification confirms that your order has been submitted for approval.
